Information we collect

When you organize an event, we process your account identifier, display name, verified email address when available, workspace access, and the signup details you enter, such as descriptions, dates, locations, jobs, and quantities. When you join a signup, we process your email address, the name or participant label you provide, your selections, and their confirmation, cancellation, or waitlist status. We also keep records needed to send messages and track changes. If you contact support, we receive the information you include.

Google sign-in and account linking

Google sign-in is optional. Through our authentication provider, Google shares your Google account identifier, email address and verification status, and basic profile information such as your name and profile image. We use this information to authenticate you and connect you to your organizer account. Our authentication provider can link Google sign-in to an existing password account with the same verified email after any required verification. Ready Set Join stores the authentication provider’s account identifier to find your workspace; entering an email alone does not grant access. We do not receive your Google password. This sign-in connection does not request access to Gmail, Google Drive, Google Contacts, or Google Calendar.

How we use information

We use information to operate signups, reserve places, manage waitlists, show organizers what is covered, provide private management links, send confirmations and event updates, respond to support requests, and protect the service against abuse. Downloading a calendar file does not give us access to your calendar account. We use Google account information to provide sign-in and account management, not for advertising or training general-purpose AI models.

Who can see signup information

Published signup descriptions, dates, locations, jobs, and availability can be viewed by people with the public link. Avoid putting private information in those fields. Authorized organizers can see participant details needed to manage their signups. Participant labels are private by default; where a public-display option is offered, choosing it makes that label visible to people viewing the signup. Private management links can authorize changes to a reservation, so share them only with someone you intend to have that access. Organizers are responsible for how they use information outside the service.

Service providers and other disclosures

We share information with service providers that help us operate the service. Authentication providers process account identifiers, profile details, and sign-in information. Hosting and database providers process website requests and stored account and signup records. Email delivery providers process recipient addresses and message content. Email forwarding and mailbox providers process support correspondence, including sender and recipient addresses, messages, attachments, and replies. Analytics providers process the traffic and device information described below. We use these services for account access, storage, communication, security, and understanding site usage. You can request our current service-provider list using the contact details below. Google processes your sign-in under its own privacy policy. We may disclose information when required by law or reasonably necessary to address fraud, security incidents, or threats to safety. We do not sell personal information or use Google account information for targeted advertising.

Cookies, technical information, and analytics

Authentication and private signup management use cookies and similar browser storage to maintain sessions and protect requests. Disabling them may prevent sign-in or private management from working. Our hosting and authentication providers process technical information such as IP addresses, browser details, request times, and security events. The website offers optional analytics on readysetjoin.com. Before analytics starts, choose Accept analytics or Reject analytics. Rejecting does not limit signup features. Your choice is saved in this browser for 180 days; use Cookie preferences in the footer to change it or withdraw consent. Global Privacy Control and Do Not Track signals keep analytics off.

If you accept, Mixpanel receives activity categories such as creating or publishing a signup, changing events and jobs, making or canceling commitments, requesting recovery, and downloading a calendar or export. These events include counts, outcomes, browser and device information, a random browser identifier, and a stable account identifier for signed-in organizers. A successful commitment event also includes the email submitted by the participant. Entering an email alone does not authenticate that person or merge different browsers. We do not include names, other entered text, or private management links in activity events. For signed-in organizers, we also send your verified primary email address to your Mixpanel profile and update it when it changes. Signing in links your previously collected anonymous activity to your organizer identity. Mixpanel uses your IP address for approximate location enrichment, such as city, region, and country, where available. This does not request your device’s precise location or GPS access.

We also use Mixpanel to record interactions on public signup and information pages for consenting visitors. Recording currently samples 100% of eligible sessions. Text and inputs are masked; forms, images, and private management, organizer, and authentication screens are excluded. Pages with query parameters or fragments are not recorded. Recordings can include public page addresses, layout, clicks, scrolling, and device information. Console logs and network request contents are not recorded.

After acceptance, Vercel Analytics receives traffic and device information, with page addresses reduced to general categories. Analytics is separate from Google sign-in. Withdrawing consent stops future analytics and recording; it does not automatically delete information already sent. Contact us for deletion requests. Learn more in Help under Cookie preferences.

Retention and security

We keep account and signup information to operate the service and maintain event history. Canceling a reservation or archiving a signup changes its status; it does not automatically erase its records. Security records, delivery history, and backups may remain after a request to remove data where needed for security, legal obligations, or completing the removal process. We use access controls, encrypted connections, and protected private links, but no system can guarantee absolute security.

Your choices and requests

Use your private management link to review or cancel a reservation, and contact your organizer about event details or corrections. Contact us using the support address below to request access, correction, or deletion of personal information or account closure. We may ask for proof of identity before acting and will explain any information we need to retain. Depending on where you live, you may have additional privacy rights, including the right to complain to your local data protection authority. You can revoke the Google connection in your Google Account settings; revoking it does not itself delete your Ready Set Join account or signup records.

Children and information about others

The service is intended for adults age 18 or older organizing or joining activities, including parents and guardians acting for children. Children should participate through an adult rather than create their own accounts. Do not submit dates of birth, student identifiers, medical details, or other unnecessary sensitive information. If you provide a label for another participant, make sure you have permission and use only what the organizer needs. Contact us if you believe a child has provided personal information without appropriate permission.

International processing and policy changes

Our providers may process information in the United States and other countries where they operate. Their privacy laws may differ from those where you live. We will update this page when our practices change and notify users of policy changes by email using the email address provided to the service. We will provide any additional notice or obtain consent required by law.
